Quick Start: Send welcome email to new students and parents

The final step in our Quick Start is to communicate. Send an email to the new students and parents welcoming them aboard and giving them instructions for accessing the Parents/Students/Members portal.

In this article we walk you through creating and sending a welcome email. To learn more about email communications and managing group emails, watch for new articles in our Communicate section.

NOTE: See the end of this article for a welcome email example.
  1. On the Main Sections menu, click Communicate, and then click Group Email.
  2. On the Group Email page, ensure you are on the Options tab.

NOTE: The  Options tab has several filter boxes. This is where you select filter criteria for your email recipients. Since this is a setup step, you want to include all students and parents, no other criteria is needed.
  1. In the Options group, select Students and Adults.

  1. Click the Addresses tab to see a listing of all the email recipients matching your criteria from the Options tab.
NOTE: You can clear any selections for those people you do not want to email. In this case, since we want everyone to receive the welcome email, leave all selected.
  1. Click the Compose tab to create your welcome email.
    • Notice the Reply To goes to the email from your profile.
    • The To addresses are pulled from the Addresses tab. We checked those already so no need to make changes there.
    • You can choose to send the email Now, or select Later if you are not ready. In our case, we are sending now so leave that option.
    • If you want to attach a document, click Browse to find the document. Attachments cannot be more than 5MB.
    • For Subject, type a welcome line.
    • In the body of the email we suggest including a link to the portal as well as your school code for them to access with.
    • When finished, click

    • You will receive a copy the email that is sent.
