Documents: Manage documents

Use the Documents section in Charms to store all files that are Charms related. You can create a folder structure and upload files ensuring that all your Charms documentation is stored in one area and the right people can access the information.

NOTE: If you are using the documents feature in Charms 2, the information does not carry over to legacy Charms. Also, currently, subfolders do not exist in the Parent/Student/Member portal. Files placed in subfolders are still available but not listed under a subfolder.

What do you want to do?


Upload a document

The maximum file size you can upload is 20 MB, and the filename cannot be longer than 30 characters or contain special characters. 

  1. On the Main Sections menu, click Home, and then click Documents.
  2. In the left pane, right-click on the folder you want your document to reside in and select Upload.
  3. Navigate to your document and click Open.
TIP: Another way to upload your document is to use traditional drag and drop functionality. First select the folder you want to upload the document into. Next, locate your document on your computer or network. Now drag and drop the document into the right pane of the  Documents page.

Set permissions on a document

Permissions for a document default to Public, which means it is viewable on the Parent/Student/Member portal. You can mark a document Private and then only helpers can see the folder and its contents.

NOTE: Any documents you upload to a  Private folder are automatically marked private.
  1. On the Main Sections menu, click Home, and then click Documents.
  2. In the left pane, right-click on the document, click Private, and then click OK.

Open a document

  1. On the Main Sections menu, click Home, and then click Documents.
  2. Click the folder where the document resides.
NOTE: All documents under the folder you click are displayed in the right pane.
  1. In the right pane, you can double-click on a document to download it.  Or, if you prefer to not download the document, right-click on the document and select Open in a new tab or Open in a new window.

If you download the document, you can open it on screen or choose to save the file to another location.


Move a document

You can move multiple documents at one time by holding your Ctrl or Shift key and clicking each document.

  1. On the Main Sections menu, click Home, and then click Documents.
  2. In the left pane, drag the document from the current folder and drop it into the new folder.

Rename a document

The document name cannot be longer than 35 characters.

  1. Main Sections menu, click Home, and then click Documents.
  2. In the left pane, right-click on the document and select Rename.
  3. Type your document name and hit enter.

Set document order

If your folder has several documents, you may want to organize the documents by name or by date.

  1. On the Main Sections menu, click Home, and then click Documents.
  2. Right-click on the folder with the documents you want to order.
  3. Click Set Order and then click the option you want.

Delete a document

You can delete multiple documents at one time by holding your Ctrl or Shift key and clicking each document.

IMPORTANT: Once a document is deleted, it cannot be recovered. Be sure you really want to delete it before proceeding.

  1. On the Main Sections menu, click Home, and then click Documents.
  2. Locate and right-click on your document.
  3. Click Delete.
  4. Confirm your action by clicking OK.
