Contacts: Manage contacts

You can set up and manage contacts in Charms to keep track of contact information about vendors or professionals you do business with.

Add a new contact

  1. On the Main Sections menu, click Home, and then click Contacts.
  2. On the Work with Contacts page, click

  3. For Contact Type, enter an existing type found on the Work with Contacts page, or enter a new contact type. This is a required field.
TIP: New contact types become icons on the  Work with Contacts page. Think of  Contact Type as unique groupings of people you communicate with. Create as many contact types as you want. Examples: Vendors, Companies, Consultants, Donors.
  1. Fill in the basic contact information.
  2. Select Need 1099 if you plan to prepare a 1099-MISC tax form for the contact.
  3. Select Track Vol Hours if you want to track volunteer hours for the contact.
  4. Click

View or modify a contact

  1. On the Main Sections menu, click Home, and then Contacts.
  2. On the Work with Contacts page, click the group where your contact resides.
  3. Locate your contact and click

  4. Make the applicable changes and click

Delete a contact

  1. On the Main Sections menu, click Home, and then Contacts.
  2. On the Work with Contacts page, click the group where your contact resides.
  3. Locate your contact and click

Print contact labels

Use contact labels for items such as mailings, reference, storage, etc. Preparing your contact labels is a multiple-step process. First you select filter options, next label options, then fields to print, and finally print your labels.

On the Main Sections menu, click Home, click Contacts, and then click Contact Labels.

1. Select filter options

  1. If it is not expanded, click Select Filter Options to see the section.
  2. If you want to print labels for an entire group or multiple groups, for Contact Type, select the group(s). To select multiple groups, hold your Ctrl key as you click each group.
  3. If you do not want the entire group, do not select any contact type, instead fill in any of the filter options to locate the people, or person you want.

2. Select label options

  1. Click Select Label Options.
  2. Select your label type from the Select Label Type drop-down list.
  3. Select a font for your label.
  4. For Start on Label, select a number.
NOTE: Labels are numbered from left to right starting at the top left corner. This is a great option for label sheets that are partially used. For example, if the first 10 labels were already used, enter 11 for the  Start on Label.

3. Select fields to print

  1. Click Select Fields to Print.
  2. Select the field you want displayed on each line of the label.
  3. If you have a preference for the order they print, select an option for the Order Labels By.
  4. Click

Your labels open in a new window and you can print them.


Export contacts

You can export your contacts to a comma separated values (cvs) file that opens in Microsoft Excel.

  1. On the Main Sections menu, click Contacts, and then click Export to Excel.
  2. Select your options for saving or opening the file and click OK.
