Inventory: Mail Merge

We have put together some helpful information to turn your Charms LBL file into labels using Microsoft Word Mail Merge.


  • Open a new Microsoft Word document
  • On the toolbar select "Mailings
  • Select "Start Mail Merge"
  • On the drop-down that appears, select the "Step by Step Mail Merge" option
  • Select a document type (Labels)
  • Press “Next: Starting Document
  • Select a starting document (Change Document Layout)
  • Select “Label Options
  • Select the type of labels you will be using (it will remember this for your next usage)
  • Press “Next: Select Recipients
  • Select “Select Recipients” (Use an existing list, the LBL file you have)
  • Select “Use an existing list” (Select browse and find your LBL file)
  • A box will come up that says “Mail Merge Recipients” press the OK button
  • Press the “Next: Arrange your labels
  • Select “Arrange your labels” (Select more items)
  • A box will come up that says “Insert Merge Fields
  • Highlight and press insert for any fields from your LBL file you want on the label (Press close when done)
  • Put your mouse between the >><< and press your enter key to move the fields down a line
  • Highlight “Field 2” (this will be the field that has your barcode *123456*).
  • Select home (toolbar) > select the barcode font from the font drop-down
  • If you want to adjust the size of fields (font) this is the time to do it. Highlight the field in box one, select your font size
  • Click update all labels
  • Press Next: Preview your labels
  • Select Next: Complete the merge
  • Press “Edit Individual Labels
  • Select OK when the box pops up

You are now in Microsoft Word and can adjust or add anything you would like to the labels.
