Inventory: Manage inventory items needing repair

Charms provides an easy way to track inventory items needing repair. 

  • Create repair priority and categories
  • Mark inventory item out for repair
  • Mark repaired inventory item returned

Create repair priorities and categories

Prior to tracking any inventory repairs, you need to set up repair priorities and categories. For repair priorities, use a number scheme to indicate how important the repair is, and for priority name (category) use a descriptive name to group the types of repairs.

For example, you may have:

  • Priority 1 - Broken: unusable
  • Priority 2 - Scratched or dented: unusable
  • Priority 3 - Scratched or dented: usable
  • Priority 4 - Overall tune-up
  1. On the Main Sections menu, click Inventory, and then click Setup.
  2. For Repair Priorities, enter a number from 1 - 100.
  3. In the Priority Name box, type a category name and click

If you want to change the Priority Name (category), click

. If you want to delete the priority completely, click

. If you don't see the trash can next to the name, there are inventory items marked out for repair and you cannot delete the category until all items in the category are marked as returned.

Mark inventory item out for repair

You can mark individual inventory items out for repair, or if you want to mark multiple inventory items out for repair, use Charms' Global Repair functionality.

The following task walks you through individually marking items out for repair, starting from the Inventory Repair Information page.

  1. On the Main Sections menu, click Inventory, and then click Repair.
  2. Locate the item needing repair using one of these options:
    1. Place your cursor in the Barcode field and scan the barcode.
    2. Type the barcode in the Barcode field and click

    3. Type the serial number in the Serial field and click

    4. Select the Inventory Category and then select the Item.
  3. On the Inventory Repair Information page, fill in the Repair Information section, and then click

    1. For Date Entered, click next to the calendar and select the date.
    2. For Priority, select one of the options.
    3. For Description of Repairs, enter details about the item.
    4. Enter an Estimated Cost for the repair.
    5. For Repair Location, enter the name of the repair shop.

After clicking Save, several additional fields are displayed. These are fields you fill in when the item is returned.

NOTE: You can also access an item's  Inventory Repair Information page by clicking

Mark repaired inventory item returned

You can mark individual repaired inventory items returned, or if you want to mark multiple repaired inventory items returned, use Charms' Global Repair functionality.

The following task walks you through individually marking items returned, starting from the Inventory Repair Information page.

  1. On the Main Sections menu, click Inventory, and then click Repair.
  2. Locate the item needing repair using one of these options:
    1. Place your cursor in the Barcode field and scan the barcode.
    2. Type the barcode in the Barcode field and click

    4. Select the Inventory Category and then select the Item.
  3. On the Inventory Repair Information page, fill in the Repair Information section, and then click

    1. For Date repaired, click next to the calendar and select the date.
    2. Enter the Actual Cost of the repair.
    3. If applicable, enter the Invoice Number.
    4. If the item is assigned to a student, you can enter the amount of money the student is responsible for. This becomes a charge to the Student's miscellaneous ledger.
