Library: Manage library items

Use the library to manage all your music.

What do you want to do?

  • Add a library item
  • Modify a library item
  • Check a library item assignment
  • Delete a library item

Add a library item

You can add new library items manually, or by using an import template. This process walks you though adding the item manually. For information on importing library items, see Import library items.

  1. On the Main Sections menu, click Library.
  2. On the My Library Items page, click

  3. For Title, enter the title of the piece.
  4. Enter any additional information you would like. Notice there are 3 tabs: BasicExtra, and Loan.
NOTE: You can enter as much or as little information about the music as you like.  Title is the only required field. Keep in mind that the more information you add, the more robust your library becomes. 
  1. When finished, click

Most of the library fields are self-explanatory. A couple of items of interest include:

  • The Publisher field auto-fills as you type your entry if the Publisher is recognized in our system. Charms displays previously entered data that you can select to assist in quick set up.
  • If you are entering a title with a publisher not already in Charms, click

    , fill in the publisher's information, and then click Submit

  • For our Texas users, you can search the Prescribed Music List (PML) to see if a title is assigned a grade and PML number. This is on the Extra tab.

Modify a library item

  1. On the Main Sections menu, click Library.
  2. Locate the library item. To quickly locate the item, use one of these options:
    1. Place your cursor in the Scan Copy field and type or scan the barcode. For Select Action, select Nothing, and then click

    2. Use the basic search feature. In the Search box, type the music title, or a portion of the title and press enter.
    3. Use the advanced search feature. In the upper right corner, click

  3. Click the item's action icon

    and select Modify Library Item.

  4. Make your updates, keep in mind there are three tabs: BasicExtra, and Loan.
  5. When finished, click

Check a library item assignment

If you want to check a library item's assignment, you can do so in a few ways. The quickest is scanning or entering the barcode. You can also check the assignment without barcode information, as well as check the assignment by student.

Check assignment using a barcode

  1. On the Main Sections menu, click Library.
  2. Place your cursor in the Scan Copy field and type or scan the barcode.
  3. For Select Action, select Check Assignments, and then click

  4. When finished, click

Check assignment 

  1. On the Main Sections menu, click Library.
  2. Locate the library item.

TIP: If you have lots of library items, use the basic or advanced search features. For a basic search, in the Search box type the music title or a portion of it, and press enter. For an advanced search, in the upper right corner, click

  1. Click the item's action icon

    and select Check Assignments.

  2. When finished, click

Check library item assignment by student

  1. On the Main Sections menu, click Library, and then click Assignments.
  2. Select the student from the Select student list.

Delete a library item

  1. On the Main Sections menu, click Library.
  2. Locate the library item. To quickly locate the item, use one of these options:
    1. Place your cursor in the Scan Copy field and type or scan the barcode. For Select Action, select Nothing, and then click

    2. Use the basic search feature. In the Search box, type the music title, or a portion of the title and press enter.
    3. Use the advanced search feature. In the upper right corner, click

  3. Click the action icon

    and select Delete Title.

  4. Confirm your deletion by clicking

NOTE: You may need to refresh your browser to see that the item was deleted.
