Fundraiser: Set up a fundraiser

  1. On the Main Sections menu, click Finances, and then click Setup Fundraisers.
  2. At the top right, click

  3. For Activity Name, type the name of your fundraiser.
  4. If you are working with a vendor, type your vendor name, location, and contact information in the applicable fields.
  5. For Fundraiser "without merchandise"?, determine if your fundraiser is selling merchandise and if so, DO NOT select Fundraiser "without merchandise". Leave this field blank. Select this field for non-merchandise fundraisers.

NOTE: With merchandise fundraisers, students are given items of value in which after their sales they must turn in money and/or merchandise. Candy bar and catalog sales are examples of merchandise fundraisers.

With non-merchandise fundraisers, students are given items of no value, or not given items at all, and turn in only money. A car wash or raffle ticket sales are examples of  non-merchandise fundraisers.

  1. Select whether you want to track the fundraising items by count.

NOTE: If your items are all the same with the same selling price and profit margin, and you want to track by how many each student is given and the value given, select Track by item Count?.

If you are selling different items at various prices, do not select Track by item Count?. Charms can only track items that are the same price.

  1. If you are tracking by item counts, type the Retail Cost Per Item.
  2. For Student Profit, select Manual or Computed.
NOTE: If you want to enter profit manually or at a date later than when the money is turned in, select  Manual. Select  Computed and enter a percentage if your fundraiser has a fixed profit rate overall.
  1. Type a purpose for the fundraiser, for example "Spring Trip".
  2. If you have a profit goal, type the goal dollar amount. Charms tracks your progress against the goal you set.
  3. When finished, click

You can make changes to your fundraiser set up at any time. Be aware, however, that changes affect transactions from that point forward. Previous transactions are not recalculated.
