Miscellaneous ledger: overview

The miscellaneous ledger is for billing and recording payments for various items that do not qualify as fixed payment, fundraising, or trip ledger items. Items could include payments for lost uniforms or music, inventory repairs, trip overages, private lesson payments, or partial payments on larger fixed payment items.

The miscellaneous ledger is also good place to accrue extra money that you can apply to student bills or payments that come up infrequently, or unexpectedly, and it provides a good way to save enough money to pay for fixed payment items.

NOTE: Avoid using the misc. ledger for fundraisers or trip transactions. It is best to take care of those in the applicable ledger.

There are several types of transactions you can create in the miscellaneous ledger:

Make Deposit

Use this transaction to build up money in the student's misc. ledger. The money can come from a student, member, or parent and can be used to pay for miscellaneous items, or to help pay for items such as fixed payments or trip overage charges.

Make Withdrawal

Use this transaction to record refunds or to make negative adjustments to keep the miscellaneous ledger in balance.

Misc. Credit

Use this transaction to record adjustments or general financial credits where no money is moving, you are just giving the student credit for use of funds. Examples where you might use this transaction is if a transaction from your credit card processor or check payment did not get credited to the student. Or, if you want to grant a scholarship to the student without giving any actual money.

Misc. Billing

Use this transaction to bill for miscellaneous items such as penalty payments for lost uniforms or music, inventory repairs, trip overages, private lesson payments, partial payments on larger fixed payment items, or any unexpected items.

Transfer.png

Transfer

Use this transaction to transfer money that is needed in another area, such as transferring to the trip ledger, fundraising ledger, or the fixed payments ledger. You can also transfer money from one student's miscellaneous ledger to a another student or chaperone's miscellaneous ledger.

Transaction detail abbreviations

On the Transaction detail tab of the miscellaneous ledger you see all the transactions going in to and out of the ledger. There are several abbreviations used on this page:

  • txfr = Transfer
  • F = Fixed Payment Ledger
  • ML= Miscellaneous Ledger
  • LB = Library for lost items
  • G-MB = Global Misc. Bill
  • T: Trip Ledger
  • FR: Fundraising Ledger
  • GM = Global Collect Money
  • S = Transfer to student
