How does filtering work?

Charms filtering is available throughout the program. You can quickly find a student, or group of students using the filter feature. The feature offers basic searching for one student or more complex filtering if you are looking for a specific group of students.

What do you want to do?


Search for a student by name

Your Select student drop-down list displays all students but if you have many students, you may want to take advantage of the filter feature.

  1. On the Filter menu, click 

    and then select Search.

  2. In the Search field, type the first few letters of the student's first or last name. You can also type in their email address, parent name or phone number

As you type, Charms displays all students with names matching the letters you typed. 

  1. Select the applicable student.

Search for a specific group of students

  1. On the Filter menu, click 

    and then select Set Filters.

  2. On the Set Filters page, select as many filters as you want.

TIP: Each selection within a filter box is considered an OR selection. For example, in the following Groups box image, you are searching for either students in Drumline OR students in Marching Band.

When you select filters in two or more filter boxes, the filter becomes an AND selection. If we keep the previous Group selection and then add a Grades selection of 10, we are now filtering for students in either the Baseball Team OR Basketball Team group AND in grade 10.

Furthermore, if you add selections from the Parts filters, Part 1 you select Flute and Part 2 you select Flute, your results will find students who are playing the flute in Part 1 AND Part 2. If they are only playing flute in Part 1, they will not show up in the search.

In a nutshell, selections within filter boxes are treated as OR selections and selections between filter boxes are treated as AND selections.

  1. When finished selecting filter criteria, click "Apply"

    You may need to to refresh the page to ensure the filter is applied.

NOTE: Notice the filter icon changes color to green 

This signifies your filter is on and when you click the Select student list, only those students who match the filters you selected are displayed. Also, filters remain enabled until you remove them or log out of Charms.


Search for a student by barcode

  1. On the Filter menu, click "Barcode"

    and them select Barcode.

  2. Place your cursor in the Barcode field and either type the barcode, or scan the barcode.

View a filter

You can tell if the search feature has a filter applied by the color of the filter icon. If the icon is green a filter is applied.

  • On the Filter menu, click "Set Filters" which will open a window so you can see which filters are applied.
  • Click Cancel to close the page.

Remove a filter

You can tell if the search feature has a filter applied by the color of the filter icon. If the icon is green, a filter is applied.

  • To quickly remove the filter, click the filter icon.

    The icon color changes to orange 

    OR, another way to remove a filter:

  • On the Filter menu select "Set Filters" which will open a new window. Then click the "Remove" button to remove the filters you had previously selected. Filters will no longer be applied.
